HubSpot and Gmail Integration: The Complete Setup Guide
Three ways to connect HubSpot and Gmail - the native HubSpot Sales Chrome extension, BCC-to-CRM, or iPaaS. Logging, templates, tracking, and what to skip.

You can connect HubSpot and Gmail three ways: HubSpot’s native Gmail integration (a Chrome extension plus Google account connection), BCC-to-CRM forwarding (no extension needed), or an iPaaS for custom workflows. For 95% of teams the native integration is the right answer - it’s free, two-way, and includes email tracking, templates, and sequences directly inside Gmail.
This guide covers what each path does, the actual setup steps, and what’s worth skipping.
The 60-second answer
Install the HubSpot Sales Chrome Extension (sometimes called the HubSpot extension for Gmail). It’s free, sits inside Gmail, logs outgoing emails to HubSpot Contacts automatically, and surfaces open/click tracking, templates, snippets, sequences, and meeting links.
Use BCC-to-CRM (a unique email address HubSpot generates per portal) as a backup or for users on non-Chrome browsers.
Reach for iPaaS only when you need to do something the native integration doesn’t - pulling specific email content into a custom workflow, or creating non-Contact records from email parsing.
The three integration paths
Path 1: Native HubSpot Sales Chrome Extension
A browser extension that injects HubSpot directly into Gmail (and Outlook on the desktop client).
What you get:
- Auto-log emails - outgoing emails (and optionally incoming replies) log to the contact’s HubSpot timeline
- Email tracking - get notified when recipients open and click. Tracking pixel is invisible
- Templates - insert reusable email templates into Gmail compose with a click
- Snippets - short reusable text fragments (signatures, common phrases)
- Sequences - enroll contacts in multi-step email sequences from Gmail
- Documents - share trackable docs and get notified on views
- Meetings - insert your HubSpot meeting link
- Contact sidebar - see HubSpot info about the sender/recipient (deals, recent activity, lifecycle stage) inside Gmail
Pros: Free on all HubSpot tiers (with paid features gated to Pro/Enterprise), two-way, deep Gmail integration, no manual logging.
Cons: Chrome only (or the Outlook desktop add-in for Microsoft users). Email tracking requires the extension to be active. Some advanced features (Sequences, full template library) are gated to Sales Hub Starter and above.
Pricing: Free. Sequences and some advanced template features require Sales Hub Starter ($20/user/month) or above.
Path 2: BCC-to-CRM forwarding
HubSpot generates a unique email address per portal (something like bcc@bcc.hubspot.com with a user-specific prefix). BCC that address on any email and HubSpot logs the message to the contact’s timeline.
What you get:
- Email body and metadata logged to the relevant contact (matched by recipient email)
- Works on any email client (mobile, web, desktop, anything)
- No software install required
What you don’t get:
- No open/click tracking
- No templates or snippets
- No automatic logging - you have to remember to BCC
Pros: Universal compatibility. Useful as a backup when the extension is broken or for users on non-Gmail/non-Outlook clients.
Cons: Manual. Easy to forget. No tracking.
There’s also Forward to CRM - the same idea but for replying. Forward a received email to your forwarding address and it logs to the timeline.
Path 3: iPaaS
Zapier, Make, n8n, etc. with both Gmail and HubSpot connectors.
Common workflow shapes:
- “New email from a specific domain → Create or update HubSpot Contact + add to a specific list”
- “Email matching keyword X → Create a HubSpot Ticket with the email body”
- “HubSpot Contact lifecycle changes to MQL → Send a personalized Gmail message”
- “Parse incoming email attachments → Upload to HubSpot Contact”
Pros: Filter logic, transformation, cross-system fan-out, custom email parsing.
Cons: Per-task/execution pricing. Re-implementing things the native integration does for free.
Pricing: Same as elsewhere - Zapier $30+/month, n8n self-hosted $30-100/month flat infrastructure.
What flows between Gmail and HubSpot
Gmail → HubSpot
- Sent emails logged to contact timelines (via extension or BCC)
- Replies threaded to original outbound emails
- Open events (via tracking pixel)
- Click events (via wrapped links)
- Inbound email content (if you forward to CRM)
- Attachments (limited - large attachments may not log)
HubSpot → Gmail
- “Send email” actions from HubSpot Workflows can deliver from a connected Gmail address
- Templates created in HubSpot are available inside Gmail compose
- Sequences enrolled in HubSpot send through the connected Gmail address
- Meeting link insertion
Auth and connection model
- The Chrome extension connects via OAuth - you authorize HubSpot to read/send on behalf of your Gmail account
- For sending emails through HubSpot Workflows from your Gmail (rather than HubSpot’s IP), you connect Gmail at Settings → Integrations → Email Integrations → “Connect personal email”
- The connected email address is per-user, so each sales rep connects their own Gmail
Step-by-step: native setup
1. Install the Chrome extension
Go to the Chrome Web Store, search “HubSpot Sales,” install. Pin it to your toolbar. The extension icon shows up in Gmail’s compose window.
2. Authorize HubSpot in the extension
Click the extension → sign in with your HubSpot credentials. Pick the portal (if you have access to multiple).
3. Connect your inbox
In HubSpot, go to Settings → General → Email → Connect personal email (or the equivalent “Inbox” / “Email connections” path - HubSpot’s UI shifts). Authorize Gmail via OAuth.
4. Configure logging rules
In Gmail compose, the HubSpot extension shows two checkboxes:
- Log - log this email to the contact’s HubSpot timeline
- Track - embed tracking pixel and wrap links
Both can be on by default. To prevent logging for personal emails, you can:
- Toggle them off per email
- Exclude domains from logging (Settings → Integrations → Email → Never log)
- Exclude specific addresses
This last step is important. Without it, every email to your spouse ends up in your HubSpot timeline.
5. Set up templates
In HubSpot, Conversations → Templates → Create template. Templates can include personalization tokens that pull from the contact record ({{ first_name }}, {{ company }}, etc.).
In Gmail compose, click the HubSpot icon → Templates → pick one → it inserts into the body with tokens replaced.
6. Enrolling in sequences
For Sales Hub Starter+ users: from Gmail compose, click HubSpot icon → Sequences → pick a sequence. The first email sends from your Gmail. Follow-up emails (steps 2+) send automatically per the sequence schedule unless the contact replies (which stops the sequence).
7. Test before broadcasting
Send a test email to a colleague who’s a contact in your HubSpot. Verify:
- It logs to their contact timeline
- The “Sent from email” attribution is correct
- The tracking pixel registers when they open it
- Click tracking works on any links
Common pitfalls
Tracking and privacy
The tracking pixel works by loading a 1x1 image. Most email clients now block remote images by default, especially Apple Mail (which proxies all image loads, breaking open tracking entirely on Apple devices). Open rates inflated by Apple Mail’s pre-fetch are a known industry issue.
Implications:
- Open rate metrics are increasingly unreliable. Treat them as directional, not exact.
- Click tracking is more reliable since it requires user action.
- Don’t make business decisions on minor open-rate differences.
Logging personal emails
Without exclusion rules, every personal email you send from your work Gmail gets logged to HubSpot. Set up Never Log rules immediately:
- Domain exclusions for personal contacts
- Specific address exclusions for sensitive recipients
- Default “off” for logging if you frequently send non-work emails
Sequences vs. marketing email
Sequences send through your personal Gmail and look like 1-to-1 outreach. They’re for sales, not marketing. If you blast a sequence to a 5,000-contact list, you’ll trip Gmail’s anti-spam thresholds and possibly get your Google account suspended.
Use HubSpot Marketing Email for true marketing sends (sends through HubSpot’s IP with proper authentication and compliance footers).
Reply attribution
When a contact replies, the reply should thread to the same conversation in HubSpot. Sometimes it doesn’t - usually because Reply-To headers differ, or the contact replies from a different email address than was originally messaged. Then it creates a new contact.
Mitigation: enable “create contacts from email replies” with care, and audit duplicates periodically.
Gmail send limits
Gmail (regular Gmail / Workspace) caps sends at ~500 recipients/day (Gmail.com free) or 2,000/day (Workspace). Sequences and templated outreach count against this. Hit the limit and Gmail temporarily blocks sending.
Attachment logging
Attachments over a certain size (varies, ~25MB) don’t fully log to HubSpot. The email logs but the attachment may not. For deals that hinge on the attached document, also upload to HubSpot Files directly.
